Who’s Who

Association Manager

  • Advise and provide administrative, managerial, and operational counsel to the association governing body
  • Exhibit professionalism and loyalty to the principal (the Board) Exercise diligence in performing duties on the principals behalf
  • Account for financial activities covered by the Management Agreement Perform onsite property inspections
  • Solicit and evaluate bids for association services Supervise maintenance activities and contractor performance
  • Oversee and authorize payment for primary association services Know and abide Bylaws, recognizing the State agency that supervises the community associations

The Board of Directors

Depending on the management agreement, some of the following responsibilities can be turned over to a managing company

President

  • Chief executive officer and leader of the association
  • Presides at all meetings of the board and membership
  • Executes legal documents on behalf of the association
  • Sets meeting agendas and controls all meetings
  • Represents the board before the residents
  • May have nominating, if not appointment, responsibility for all committees

Vice President

  • Performs all of the duties of the president in his/her absence
  • Typically shares some of the burden of the president regarding appearances, liaison, public hearings, etc.
  • Usually assigned liaison responsibility to specific staff or contractors, and to specific committees

Secretary

  • Prepares and distributes board and membership meeting agendas, minutes, and materials referred to in minutes
  • Maintains minutes and book on all meetings
  • Maintains book of resolutions
  • Maintains all official records, including official correspondence, contracts, membership roster, etc.
  • Receives, verifies, and maintains all proxies
  • Attests, by signature, to the legitimacy of certain documents

Treasurer

  • Works with appropriate staff, contractors, and committees to develop and submit annual operating budget for approval
  • Maintains adequate records of all association financial transactions
  • Maintains roster of disbursement of funds, as authorized
  • Prepares period financial reports
  • Arranges, subject to board approval, an independent audit of financial affairs

DID YOU KNOW a large percentage of your condo fee covers utilities? Water accounts for over 75% of our annual utility expenses. That is more than $1.5 million on water and sewer alone. A 15% reduction in water usage could save $225,000 annually. We think this is a reasonable goal.

We want to decrease water waste and encourage residents to report faulty components (leaking and dripping parts and fixtures) that waste water and add to the cost of our water and sewer utility bills or upgrade to more water-efficient toilets and faucets by taking advantage of these free or discounted services.

Under WaterWise, the Association will:

  • Conduct free Plumbing Inspections to help identify in-unit leaks.
  • Conduct free Toilet Tune-Ups (normally $65) to repair slow filling and continuously running toilets, which can waste as much as 1,440 gallons of water per day (GPD) or more.
  • Offer free installation of new water-efficient toilets to replace our old water-guzzling models, which use 3.5 gallons per flush (GPF). The new water-efficient toilets use just 1.28 GPF. A Consumer Reports recommended water-efficient toilet can cost less than $95.

Owners can select any faucet or toilet brand and model they desire with pre-approval by Parkfairfax staff. This is to make sure in advance that the fixtures can be installed properly in Parkfairfax kitchens and bathrooms. A complete list of services can be viewed in the table below.

DISCLAIMER

The Parkfairfax WaterWise program only covers leak repairs to original/typical plumbing configurations for items such as toilets, bathroom sink faucets, kitchen faucets, and in-unit water shut-off valves. Leak repairs in renovated bathrooms and kitchens may be excluded. Parkfairfax staff will assess the situation before commencing any work.

Are appliances included?

Unfortunately, appliances are NOT included in this program. If you have a leaky appliance, Parkfairfax will come and stop the leak. However, you will have to coordinate repairs through an appliance specialist.

You can request any of these services through the Buildium work-order request system and follow the steps below:

  1. Log in to your Buildium Account
  2. Click on the green CREATE REQUEST button
  3. Select MAINTENANCE REQUEST
  4. Under the REQUEST DETAILS, go to the CATEGORY box drop-down menu and select PLUMBING
  5. In the SUBJECT box, type in Parkfairfax WaterWise Request
  6. In the DESCRIPTION box, type in the WaterWise service you request from the list of services.

Service requests will be addressed in the order they are received and material availability. Active leaks will be treated as a priority.

Service Terms

  1. Labor is free unless unexpected additional labor is needed, i.e., opening walls.
  2. Parts will be billed at cost plus tax, shipping, or other fees if applicable.
  3. Services not listed here may be performed only with the General Manager’s approval.
  4. All items purchased by residents must be reviewed by Parkfairfax staff to ensure compatibility before installation.
  5. Parkfairfax warrants its labor for one year after the installation date.
  6. All service requests must be made through Buildium by the unit owner or a registered tenant or by phone to a service coordinator.

Important Facts

  1. Our approximate annual cost of water and sewer is $ 1,525,000.
  2. Our condo fees pay for our clean water and wastewater treatment. Any decrease in water usage reduces our water and sewer utility bills.
  3. A leaking or running toilet can waste 200 to 1,440 gallons daily, costing $2 to $14 per day.
  4. A dripping faucet can waste 10 to 200 gallons of water daily.
  5. Switching from the older Parkfairfax 3.5 gallon per flush (GPF) water-guzzling toilets to a 1.28 GPF toilet can save over 10 gallons per day and 4,051 gallons per year per person at an average of 5 flushes per day per person.
